Job Description - Membership Administrator

ABOUT THE ORGANIZATION:
The Mechanics’ Institute is a 4,500 member non-profit organization with a 160,000-volume general-interest Library, the oldest Chess Room in the US, and an active Events program. We are located above the Montgomery Street BART/MUNI station in downtown San Francisco in our historic landmark building.

POSITION SUMMARY:
The Membership Secretary is responsible for the daily operations of the Membership Office and, under the general supervision of the Executive Director, provides support to the Development, Library and Events departments.

RESPONSIBILITIES:

Membership Office Maintenance:
  • manage the interface of three membership databases: Library database (Innopac Millennium), member/donor database (MMS), Library security system (Access)
  • process membership payments and resolve membership issues as they arise;.
  • generate and coordinate mailing of membership renewal billings;
  • extract mailing lists from the database for direct mail campaigns and newsletter distribution;
  • perform regular clean up of member/donor data;
  • manage subscriptions to Institute publications;
  • produce General Ledger statements for accounting;
  • produce Monthly Membership Report;
  • maintain web-based membership applications and update member listserv;
  • order supplies;
  • promote membership to prospective members.
Development Department support:
  • maintain donor database (MMS);
  • process donations (to accounting) and perform data entry;
  • create donor mailing lists and solicitation cards, and prepare data files for mail house;
  • produce acknowledgement letters and correspondence to donors.
Library and Events Department Support:
  • enter Library generated membership transactions into databases;
  • provide coverage for Library Circulation Desk on occasion;
  • coordinate with Events staff to track member attendance and marketing analysis;
  • assist in planning and implementing special member/donor events, (some evening hours required).
QUALIFICATIONS:
The successful candidate will demonstrate:
  • experience working with donor/membership databases and a variety of software, e.g. Microsoft Word, Excel, and Access;
  • familiarity with the mechanics of mass mailing and file transfer;
  • ability to work independently, manage multiple projects and produce high quality work with accuracy and attention to detail;
  • excellent customer service skills - ability to communicate with members, donors, and public in a professional and courteous manner;
  • flexilibity and the the ability to work cooperatively with Institute staff;
  • marketing skills, an interest in fundraising and nonprofit organizations, and a familiarity with the Bay Area funding community are a plus.

SALARY and HOURS:
DOE; benefits for full-time position (37.5 hours/week, Monday - Friday, 9am to 5pm.)
